HR Middle Office (Advisory) - HUMN - Beijing - 20180515001

  • Developing the Middle Office Team for employee experience, supporting around 400 employees based in 7 primary locations across all entities
  • Covering a wide-range of responsibilities of managing HR services and the Analytics and the oversight of HRSSC
  • Participating in HR transformation project


Main Responsibilities / Accountabilities / Tasks

1. Recruitment & on-boarding

a/ Workforce Administration

  • Ensure accurate position management, quality control of contract production and sign-off background screening managed by external company
  • Welcome new joiners as part of an induction programme and ensure all applicable third parties are informed about new joiner
  • Junior recruitment
b/ Campaign Management

  • Support with campus management activities
  • Assist with talent management programmes, like work placements, graduates, summer interns, etc.

c/ Employee Case Management

  • Manage start dates, paperwork follow-up and escalation of issues re. compliance validation, background screening by vendor and regulator.

2. Career Management & Mobility, Leave of Absence & Departures

a/ Workforce Administration

  • Follow up work permit data (with outsourced provider)
  • Prepare compromise agreements and NIMP calculation/Expat package
  • Execute and coordinate internal transfer process in conjunction with HRBP, HRSSC, and third parties (ITEC, compliance, Security, vendor)
  • Instruct third parties to execute leaver paperwork and calculations

b/ Campaign Management

  • Follow up of big data exercises, like NCC, Block Leave, eValuation, promotions, mid-year salary review, notifications and 360

c/ Employee Case Management

  • Under direct supervision of HR Business Partner teams, follow up and manage maternity/paternity/parental/adoption, flexible working, sickness and career break cases as well as resignation interviews
  • Conduct career interviews for non permanent staff when required
  • Perform routine tasks for disciplinaries and grievances cases

3. Reporting

  • Define and deliver KPI and dashboards in conjunction with HRSSC
  • Ensure exhausitiveness and homogeneity of data produced
  • Perform basic analytics on reporting, KPI and on their variations
  • Work closely with Bangalore team to maintain date integrity in HRIS
  • Propose and follow-up HRIS enhancement
  • Perform monthly permanent supervision

4. Others

  • Prioritize and plan work activities, use time efficiently, sets goals and objectives, develops realistic action plans
  • Manage performance of suppliers and SSC, including background screening, work permits , workforce administration, training administration, reporting administration, hotline, international services
  • Identify the needs of the HRBP team and how to better provide consultation to HRBP
  • Work on improving quality of exchanges between HR Middle office and HRBP and acceleration of some processes
  • Completion of various projects: revamping inductions, leveraging on HRIS global tools, etc
  • Ensure HRSSC and HR Middle Office update procedures and KPI to make sure that processes are handled effectively, efficiently and in compliance with regulations and internal company policies
  • Fulfill the ad hoc tasks assigned by the management



Academic Background

  • (degree and major) University Degree or above, better major in Human Resources, Business Management or related

Working Experience / Technical Skills & Know how

  • At least 7 years solid and relevant working experiences in HR areas from banking industry or reputable multinational companies, in particular HR operations

Skills & Competencies

  • Team player, proactive and energetic, customer focused, resilience and able to work under pressure; and with good communication and interpersonal skill, strong team leadership

Language Skills

  • Good command of both spoken and written English and Chinese (Mandarin)

Computer Skill

  • Good PC
