The role of the Office Manager is responsible for all Day-to-Day operations of Shanghai office, such as Office Administration and Facilities Maintenance, Company File and Seal Management, Office Events Management, Finance & Procurement within Administration, Building Management, Document & Records Management, Occupational Health & Safety & Environmental, BCP and other related functions as determined by the CAO, China.
This role is also responsible for supervising the administration staff to provide efficient, effective and high quality Corporate Services across the breadth of the organisation in compliance with the Group and statutory requirement at country level. To deliver excellent service and process, which are both qualitative and quantitative, is crucial for this role in an effective and efficient manner.
The role will also partner with Office Manager in Beijing office for other China Corporate Services initiatives.
Key Responsibilities:
Oversee the day to day running of the office and work as a trouble shooter to resolve office problems;
Supervise the office renovation and coordinate with property management and construction company;
Oversee office purchases including stationery, printing matters, equipment's and other office supplies etc;
To ensure the reception area & conference rooms neat and tidy all the times; and to ensure sign-in and security procedures;
Support the teams / visitors in scheduling meetings, arranging travel logistics, managing documentation on systems, and other administrative needs when needed;
Manage internal office events including Townhall and other employee engagement activities;
Take up receptionist lunch roster as and when required;
Support other ad hoc projects or tasks as required
Requirements:
Minimum of 5 years of office management experiences in MNC Financial Services;
Solid experience in dealing with property management, previous experience in office renovation/ movement is preferred;
Bachelor's degree or above;
Good command of English and Chinese written and verbal communication skill;
Mature and considerate team player, leadership experience is preferred;
With strong sense of responsibility and ownership;
Proficient in MS Office;
The holder of the Fund Qualification Certificate - Asset Management Association of China (AMAC) license is highly preferred;
Strong organisational skills with the ability to multi task and meet tight deadlines;
