Shanghai Office Receptionist
Main Purpose:
Assuring a good quality service to our external and internal clients, within the
reception/conference/food&beverage areas, as well as assisting with facilities and other admin support.

  • The ability to communicate effectively with a wide range of people

  • Relevant working experience in five-star hotels or big airlines (eg. SG) is a plus

Key Responsibilities
  • Answer and transfer phone calls
  • Take full charge of welcoming visitors, incl. accompany them to meeting rooms
  • Book meeting room and connect VCs
  • Check meeting room's facilities
  • Local express, EMS, DHL's receiving, recording and sending
  • Hotel & service apartment reservation(backup)
  • Flight & train ticket booking (backup)
  • Office front door control
  • Check pantry's food, water and coffee machine, arrange maintenance on coffee machine
  • Assure back up for meeting rooms to be clean and tidy at all times, incl. preparation of rooms with (i)drinks and (ii) stationery etc. before meetings and tidying up after meetings
  • Prepare breakfast/lunch/dinner, set up and clean dining tables
  • Check office stationary, copy & print machine's paper and cartridges
  • Gym card's borrowing & return
  • Booking of external restaurants/meetings/lunches, order take-away food for staff meeting
  • Assist in contacting building management office for facilities issues
  • First aid box
  • Order & register stationary
  • Issue invitation letter for visitors
  • Provide necessary administrative supports, eg. Airport transfer arrangement, visa application.
  • ? Dealing in general with adhoc requests
