Position Summary
The principal responsibility of this position is to provide administrative support to the Luxembourg Real Assets team members.
Primary Responsibilities
- Leverage productivity software (especially Microsoft Office and Instant Messaging) to maintain calendars, contacts and tasks.
- Coordinate and facilitate internal and external meetings, ensuring agendas, materials, and follow-ups are well managed.
- Liaise with different offices in Europe and US.
- Update Luxembourg internal database, matrix and trackers ensuring accuracy and up-to-date records; ensure proper filing and organization of digital and physical records (including archiving).
- Create moderate documents (Microsoft Word, Excel and PowerPoint).
- Provide general administrative support as requested (e.g. mail/document merger, registered mail, update shareholders registers, drafting basic and standard legal documents, drafting audit confirmation letters, completing basic requests for the tax and VAT administration).
- Manage signature requests from Luxembourg and foreign Carlyle offices (Docusign or printing documents, scanning, saving and filing documents); coordinate notarization of documents as required.
- Preparation of quarterly board meetings (e.g. sending meeting requests, preparation of skeleton of board minutes, preparation of e-packs, printing documents); handle DHL and other postal services.
- Assist with Luxembourg Business Register formalities (RCS/RBE), including excerpt requests, filing changes of board of managers or transfer of shares, and filing of annual accounts; liaise with external parties (notary, banks, service providers).
- Assist in a wide variety of projects assigned.
- Other reasonably related duties as assigned.
Requirements
Education & Certificates
- College degree preferred.
Professional Experience
- Minimum of two years in executive assistance role, ideally working with a team in the private equity or the law firm sector.
- Fluency in English. Good level of French is an asset, as is any additional language.
- Strong organizational skills and attention to detail.
- Ability to work independently with strong follow-through skills.
- Excellent communication skills - both verbal and written.
- Flexibility to juggle moderate degree of multiple and changing priorities.
- Resourcefulness (especially online) in executing projects.
- Collaborative/teamwork attitude and skills a must.
- Pro-actively anticipate work assignments whenever possible.
- Maintain confidentiality of all sensitive and confidential issues.
Competencies & Attributes
- Excellent Microsoft Office skills (including Outlook, Word, Excel and PowerPoint).
