This role will be based full-time at our Colindale office, working closely with the local Company Secretarial team.
Description
This is an entry-level position with no prior experience required, suited to someone looking to gain hands-on experience in a professional office environment.
As a Company Secretarial Administrator, you will support a Team with corporate administration and statutory compliance across a varied client portfolio.
The role will involve managing the preparation and submission of annual Confirmation Statements, maintaining accurate statutory records, and assisting with a range of Companies House filings. The position supports the team in ensuring compliance with regulatory requirements while supporting the efficient running of the company secretarial function.
Key Responsibilities
• Preparation and timely submission of Confirmation Statements, including reviewing Companies House and internal records to ensure accuracy of publicly filed information.
• Maintenance of Persons with Significant Control (PSC) registers and obtaining supporting information from clients.
• Contacting clients to request and follow up on information required for filings.
• Supporting compliance with anti-money laundering requirements and obtaining relevant documentation from clients.
• Assisting with client identity verification for Companies House purposes.
• Preparation and processing of forms relating to changes in accounting reference dates.
• Preparation and filing of forms to amend officer and PSC details.
• Preparing and submitting documentation for voluntary strike offs.
• Preparation of dividend vouchers where required.
• Managing and actioning Companies House reminders for Confirmation Statements and accounts filings.
• Maintaining and updating statutory registers on internal systems.
• Assisting with invoicing, including adding completed work to the weekly billing list.
• Providing general administrative support to the team and assisting colleagues where required.
• Supporting additional statutory tasks such as share transfers, share issues, incorporations, and officer changes.
• Updating company registers following transactions and preparing supporting documentation such as share certificates.
Key Requirements
• No prior experience required however a willingness to learn and develop within the role is essential.
• Strong attention to detail and high level of accuracy.
• Good time management skills with the ability to meet deadlines.
• Ability to manage multiple workstreams and prioritise effectively.
• Self-motivated with a proactive approach and ownership of tasks.
• Good organisational skills.
• Strong communication skills, both written and verbal.
• Comfortable working with systems and maintaining accurate records

• Understanding of company secretarial or Companies House processes is desirable but not essential.
• Ability to work independently and collaboratively within a team.
