  • Handle sensitive personal and immigration information with discretion and maintain communications through approved systems and the centralized immigration inbox.

  • Manage day-to-day partnership with external immigration counsel and technology vendors, including case initiation, service delivery, escalations, invoicing, and issue resolution.

  • Monitor vendor responsiveness, case progress, and service levels; identify recurring issues and recommend process improvements.

  • Review legal-fee and government-fee estimates for completeness, track approved spend, and support invoice reconciliation and budget reporting.

  • Administer Corpay immigration policies, sponsorship approval requirements, exception processes, and required leadership approvals consistently.

  • Maintain dashboards and reports covering active cases, upcoming expirations, case status, costs, risks, cycle time, and required business decisions.

  • Identify trends and emerging risks and provide concise updates and recommendations to HR leadership and relevant business stakeholders.

  • Develop and maintain standard operating procedures, templates, checklists, employee communications, and training materials for immigration processes.

  • Maintain complete, accurate, and audit-ready immigration records in the immigration platform, HRIS, and approved document repositories.

  • Reconcile immigration data across systems and promptly correct discrepancies involving legal entity, work location, job information, status, or expiration dates.

  • Follow data privacy, record-retention, and access-control requirements for confidential immigration and personal information.

  • Support immigration program projects, process improvements, vendor transitions, policy updates, and other immigration-related priorities as assigned.

  • Remain current on relevant immigration developments and coordinate with counsel to evaluate potential impact to Corpay employees and business operations.

  • Demonstrated ability to manage a high-volume caseload, competing deadlines, and time-sensitive work authorization issues with strong attention to detail.

  • Strong written and verbal communication skills, including the ability to explain complex processes clearly and communicate risk appropriately.

  • Sound judgment, discretion, and experience handling confidential personal and immigration information.

  • Strong project management, data reconciliation, reporting, and issue-escalation skills.

  • Ability to work independently while building effective relationships with employees, leaders, Talent Acquisition, HR partners, vendors, and counsel.
